Terms and Conditions
1. Promotions
By registering for this event, the registrant acknowledges that the AARC may offer future promotions which may yield lower registration fees than those paid in the current transaction. The registrant enters into this agreement knowing this risk and understands that should that happen; refunds will not be issued for the difference.
2. Cancellation and Substitution
No cancellations are accepted once any registrant has printed a badge and or accessed the Event networking or partnering facilities, applications or platforms. You acknowledge that the refund of your fees in accordance with Condition 2.1 or 2.2 is your sole remedy in respect of any cancellation of your registration by you and all other liability is expressly excluded.
2.1 Cancellation Protection
AARC Congress 2024 cancellation protection may be purchased for the 4-Day Registration for $40 at the time of registration only. Those purchasing this option may cancel for any reason and receive a 100% refund. Protection covers the total amount paid for AARC Congress registration fees and other meeting add-ons. Cancellation protection is not available for Single Day or Student registrants. Registration and cancellation protection must be purchased together. Must cancel before 11:59 p.m. (CT) Nov. 19, 2024. 2.2 Cancellation Fee and Refund Policy
A written cancellation and refund request is required via email. Emails must be dated no later than 11:59 p.m. (CT) on Nov. 7, 2024. No refund requests will be accepted after this date, unless cancellation protection was purchased, section 2.1. Refunds will be processed after the meeting. Send request to info@aarc.org.

2.3 Substitution Policy
Registrations for those unable to attend may not be applied to a future year’s meeting. Registration transfers for non-members are permitted with a paid administrative fee of $25. If the substitute is an AARC member, payment of the difference between the member and non-member fees will be refunded. Substitution requests must be submitted in writing by Nov. 7, 2024, and sent via email to info@aarc.org. You may not purchase registrations as agent for any third party, sell or otherwise transfer your registration to others, or exploit the registration commercially or non-commercially in any way.
3. Code of Conduct
The American Association for Respiratory Care (AARC) is committed to providing a professional, friendly, safe and welcoming environment for all participants at its meetings, regardless of gender, sexual orientation, disability, race, ethnicity, religion, national origin or other protected class.
This Code of Conduct may be revised at any time by the AARC and the terms are non-negotiable. Your registration for, or attendance at, any AARC event indicates your agreement to abide by this policy and its terms. Unacceptable behavior will not be tolerated during any portion of a meeting or event.
Unacceptable behavior includes but is not limited to:
- Intimidating, harassing, abusive, discriminatory, derogatory or demeaning speech or actions.
- Harmful or prejudicial verbal or written comments or visual images related to gender, sexual orientation, race, religion, disability or other personal characteristics, including those protected by law.
- Inappropriate use of nudity and/or sexual images.
- Real or implied threat of professional or financial damage or harm.
- Disruption of presentations during sessions, in the exhibit hall, or at other events organized by AARC throughout the meeting. All participants must comply with the instructions of the moderator and any AARC event staff.
- Presentations, postings, and messages should not contain promotional materials, special offers, job offers, product announcements, or solicitation for services. AARC reserves the right to remove such messages and potentially ban sources of those solicitations.
Reporting Harassment to the AARC: If you see, overhear or experience a violation of the Code of Conduct during a event, and would like to report a violation, please email AARC staff at info@aarc.org.
4. Photography/Video
4.1 No individual or entity other than the AARC may record (audio or video) any portion of AARC Congress 2024 for any purpose without the prior written consent of the AARC.
4.2 Digital photos of PowerPoint slides are prohibited. All presented content is the intellectual property of the lecturer. Presenters (at their discretion) may choose to share their slide deck via the mobile event app, otherwise requests for slide decks must be made directly with the presenter.
5. Consequences for Breach
AARC may (at its sole discretion) refuse access to, or eject/block from the Event, any person in its absolute discretion, including (without limitation) any person who fails to comply with these terms and conditions or who in the opinion of AARC represents a security risk, nuisance or annoyance to the running of the Event. You agree to comply with all reasonable instructions issued by AARC or the venue owners or operators at the Event.
6. Privacy and Personal Information
AARC (and any third-party provider acting on our behalf) will use your personal information provided during the registration process to host and manage this digital event, and for analyzing visitor traffic with a view to improving the event experience for visitors.
During registration, you may have chosen to withhold permission to share your data with third parties (I.e. sponsors & exhibitors), however when entering a exhibition booth, downloading sponsor content, or attending a sponsor session, your personal information will be shared with the exhibitor or sponsor to allow them to engage with you. If you accept or initiate a connection or meeting invite, then your full contact details (name, employer and email provided in your profile) will be shared directly with the exhibitor or sponsor and they may follow-up and use your details for marketing purposes.
7. Exhibitors (Marketing and Solicitation During the Meeting)
7.1 Solicitation for products or services may only take place in the exhibit space.
7.2 Only confirmed exhibitors may solicit products or services to meeting attendees or other exhibitors. Registered attendees are not permitted to solicit to other attendees or exhibitors.
7.3 Expo Hall Disclaimer: Children aged 18 and under, including babies in carriers, are not permitted to enter the Exhibit Hall.
